Your Qualifications

  • 2-3 years of experience in contract management
  • Experience with bid services and public procurement at the local, state, and/or federal level preferred
  • Reliable, highly organized, motivated, and able to excel in a deadline-oriented work environment
  • Project management skills, including the ability to organize cross functional efforts related to contract opportunities
  • Professional level skills in both oral and written communication
  • Excellent interpersonal skills, with customer service outlook and approach
  • Excellent attention to detail and strong analytical skills
  • Proficient in Word, Excel, Outlook, and internet navigation/research

The Role

The Contract Management Bid Specialist will be responsible for a portfolio of publicly procured HAIX contracts, either held directly by HAIX or held by an authorized HAX distributor. Primary duties will entail tracking and managing bids in response to request for proposals, requests for information, and requests for quotes. They will ensure compliance with enduser customer requirements while highlighting HAIX’ company value proposition. This role will will work directly with upper management to bring and deliver strategic approaches to win bids.

Key Tasks and Responsibilities

  • Research and identify relevant bid opportunities
  • Responsible for full life cycle of bid. Investigate and summarize bid opportunities for evaluation by senior leadership (VP and Sales Director)
  • Examine and identify areas in the bid that create potential liability exposure for the company
  • Analyze significant and/or unique contract requirements, special provisions, terms and conditions to ensure compliance and communicate these requirements to all involved parties
  • Provide support on bids, RFP’s, RFQ’s, and other solicitations as needed. May require summarizing of opportunity, identifying key business requirements and ensuring company pricing objectives are met
  • Manage bids and supporting files electronically for organized and efficient bid management to include bid documents, amendments, bid submissions, final contracts, and tracking spreadsheets
  • Monitor and track contract renewals, expirations, customer required reporting, etc. and report to Vice President and Sales Director
  • Draft documentation supporting contract modifications including the exercise of renewals and contractual closeout
  • Maintain contractual records and documentation such as bid documents, bid submissions, spreadsheets, contracts, and amendments
  • Notify relevant parties of upcoming actions and assist in the communication of contract specifics as needed
  • Create and maintain relationships with purchasing officers, end customers, and dealers and serve as the singular point of contact for matters concerning contracts
  • Solve any contract related problems that may arise with other parties and internally with the company itself
  • Any Administrative tasks related to contracts across all functionals areas
